Terms of Service
These general terms govern use of the ADMFA Audio website and, together with transaction-specific documents, the services you request or purchase.

1. Acceptance and scope
By using this website, creating an account, submitting an inquiry, accepting a quote or agreement, uploading content, purchasing a membership, making a payment, or using ADMFA Audio services, you agree to these Terms and any transaction-specific terms presented to you.
ADMFA Audio provides audio/visual production, equipment rental, venue/studio services, technical staffing, recording and post-production services, educational/member services, digital processing and related offerings. Availability and scope vary by order.
2. Quotes, AI estimates and approval
Pricing or guidance provided by a website calculator, chatbot, AI assistant, email, phone conversation or preliminary estimate is not a final commitment unless expressly identified as final. AI-generated responses are informational and may require staff review. ADMFA may review files, event requirements, inventory, staffing, route, load-in/load-out, venue capacity, timing and other scope factors before approving a quote or accepting work.
3. Bookings, reservations and confirmation
Signing an agreement or submitting a request does not by itself guarantee a reservation. A booking is confirmed only after the transaction-specific requirements are satisfied, which may include staff approval, availability review, electronic acceptance, insurance or documentation, and receipt of the required reservation payment or deposit. The applicable checkout, quote, invoice, agreement or confirmation states the amount and schedule.
ADMFA may assign one or more employees or independent contractors to a job and may change personnel when operationally necessary, while remaining responsible for the contracted service scope.
4. Payments and Square
ADMFA uses Square as a primary payment processor for many website and portal transactions. Payment credentials entered in Square-hosted or Square-enabled checkout are handled under Square’s systems and terms. ADMFA may retain transaction records such as payment status, transaction identifiers, amounts, dates and permitted payment-method references. If you expressly authorize a stored payment method or card-on-file arrangement, the processor may securely store the payment credential for authorized future charges.
You are responsible for amounts, taxes, delivery, labor, processing, late charges or other fees disclosed in the transaction documents. Payment plans or installment schedules do not change the total obligation unless ADMFA agrees in writing.
5. Customer accounts, portals and case numbers
Customer accounts and portals may contain quotes, agreements, payments, communications, uploaded files, completed deliverables, assigned-team information and order history. Keep credentials confidential and promptly report suspected unauthorized access. A case/order number may follow a transaction from inquiry through completion; a separate new order may receive a new number.
6. File uploads, audio processing and deliverables
You represent that you own or have all permissions, releases and licenses necessary for files, recordings, music, samples, scripts, images, video, voices, trademarks and other content you submit. Do not upload unlawful, infringing, malicious or unauthorized content.
ADMFA may use software, cloud infrastructure, automated processing and AI-assisted tools as reasonably necessary to provide requested services. Uploaded files may be validated, scanned, measured, hashed, processed, copied to working storage and reviewed by authorized personnel or service providers. Final deliverables may be made available through your dashboard or another delivery method. Unless a specific agreement promises archival storage, customers should download and maintain their own backup copies of completed files.
7. Memberships and community features
ADMFA membership tiers include AV Student, AV Pro and AV VIP. Benefits, billing interval and access are those disclosed at purchase. Recurring memberships renew according to the checkout terms until cancelled. A cancellation stops future renewals as described at checkout; it does not automatically create a refund for a completed or partially used paid period unless required by law or stated in the applicable offer.
Community features may include public usernames/display handles, profiles, posts, comments and messaging. Visibility and messaging permissions may vary by tier, privacy setting and consent workflow. Do not use community features to harass, impersonate, spam, scrape members, expose private information or bypass contact controls.
8. Venue, studio and event rules
Clients are responsible for their guests, vendors and invitees and for complying with occupancy, safety, building, fire, equipment and conduct requirements. Activities involving alcohol, regulated materials, special effects, open flame, unusual electrical loads, elevated structures, animals, minors, security or other heightened risks require advance disclosure and may require written approval, permits, insurance, additional staffing or may be prohibited.
ADMFA may use security cameras at or around the facility. Separate photography, recording, livestreaming or promotional-media rights are governed by the applicable event agreement, release, posted notice or other authorization.
9. Equipment rental and production services
Equipment remains subject to inventory, staffing, logistics and technical suitability. Delivery, setup, strike, handling or professional operation may be required. Unless expressly approved, self-pickup or unsupervised use is not permitted where ADMFA determines professional handling is necessary. Clients are responsible for loss, theft, damage or misuse attributable to the client, guests or third parties as provided in the applicable agreement.
10. Vendors, organizations and workforce
Vendor and organization submissions are subject to verification, eligibility, availability and separate agreements. Workforce members may be employees or independent contractors depending on the role and engagement. Nothing in these public Terms changes the classification, compensation or obligations stated in a worker’s or vendor’s separate agreement.
11. Intellectual property
ADMFA website design, branding, original copy, graphics, systems and proprietary materials remain the property of ADMFA Audio or its licensors. Customer-owned source materials remain the customer’s property subject to the rights granted to ADMFA to perform the requested service. Any promotional, portfolio or media-use rights must arise from the applicable agreement, release or permission.
12. Third-party services
Some functions rely on third parties such as payment processors, hosting/storage providers, communications systems, cloud tools, maps, analytics or embedded media. Their services may have separate terms and privacy practices. ADMFA is not responsible for a third party’s independent acts outside ADMFA’s reasonable control.
13. Changes, suspension and refusal of service
ADMFA may decline or suspend service for safety, fraud, nonpayment, abusive conduct, unlawful activity, material misrepresentation, rights disputes, technical infeasibility or other legitimate operational reasons, subject to applicable law and transaction-specific agreements. Website policies may be updated prospectively; material transaction terms already accepted remain governed by the applicable agreement.
14. Disclaimers and limitation
Except for obligations expressly stated in a signed agreement and warranties that cannot lawfully be excluded, services and website functions are provided without additional implied guarantees. To the fullest extent permitted by law, ADMFA is not liable for indirect, incidental, special or consequential losses arising from website use or a transaction, subject to any different remedy or limitation stated in the applicable signed agreement.
15. Governing law
These general Terms are governed by Texas law, without regard to conflict-of-laws principles. Unless a transaction-specific agreement provides otherwise, disputes concerning these Terms may be brought in a court of competent jurisdiction serving Harris County, Texas. Arbitration applies only when expressly agreed in a binding transaction-specific agreement.
