Refund, Cancellation & Rescheduling Policy
1. General Rule
This policy provides general rules for deposits, retainers, cancellations, rescheduling, credits, and refunds. The specific offer, invoice, checkout disclosure, proposal, or signed agreement controls if it states different transaction-specific terms.
2. Deposits and Retainers
Deposits or retainers may reserve date/time, equipment, staff capacity, travel, production resources, or other inventory. Different services and promotions may require different deposit percentages or amounts. The applicable transaction materials determine whether a deposit is refundable, non-refundable, partially refundable, transferable, or creditable.
3. Venue Reservations
Venue cancellation and rescheduling rights depend on the signed venue agreement, notice given, date demand, event timing, and costs already committed. A cancellation may result in loss of some or all amounts designated as non-refundable or earned for reservation/administration where the contract and applicable law permit.
4. Equipment Rentals
Rental cancellation charges may apply after equipment is reserved, removed from availability, staged, tested, prepared, dispatched, shipped, delivered, or installed. Delivery, pickup, mileage, tolls, freight, labor, special procurement, and outside-rental costs may be non-refundable after incurred or irrevocably committed.
5. Off-Site Production and Event Services
Production cancellations may involve pre-production, engineering, travel, lodging, staffing, site visits, freight, permits, external rentals, venue access charges, or other committed costs. The proposal or production agreement will govern what is due if a show is canceled, postponed, shortened, relocated, or materially changed.
6. Weather and Force Majeure
Weather, government restrictions, utility failures, emergencies, transportation disruptions, venue closures, or other events beyond reasonable control may require postponement, modification, or cancellation. Refund or rescheduling rights are determined by the applicable agreement and the costs/obligations already incurred or committed.
7. No-Shows and Customer Delays
No-shows, late arrival, delayed load-in, or customer-caused delay generally do not extend the reserved period. Overtime is subject to staff, venue, and equipment availability and may incur additional charges. Using less than the reserved period does not automatically reduce the agreed price.
8. Memberships
Cancellation of a recurring membership generally stops future renewals rather than retroactively refunding periods already purchased, unless the plan, promotion, or applicable law states otherwise. Members should cancel before the renewal deadline disclosed for the plan.
9. Digital Services
Digital work already processed, rendered, downloaded, consumed, or materially commenced may be non-refundable where permitted and properly disclosed. Technical support will be used to address qualifying service failures where reasonably possible.
10. ADMFA-Initiated Cancellation
If ADMFA cancels a confirmed service for a reason within ADMFA’s control and cannot provide a commercially reasonable substitute or reschedule, amounts paid for the unperformed ADMFA portion will be addressed under the applicable agreement and law. This does not automatically make ADMFA responsible for independent third-party expenses incurred by the customer unless expressly agreed or legally required.
11. Credits and Rescheduling
A credit or reschedule is valid only when confirmed by ADMFA. Credits may have expiration dates, service restrictions, non-transferability, or price-difference requirements if clearly disclosed. A new date remains subject to availability.
12. Chargebacks
Customers should contact ADMFA promptly about billing disputes. A chargeback does not itself void a contract or legitimate debt. ADMFA may provide processors with contracts, communications, access logs, delivery records, photographs, booking history, or other relevant evidence.

Contract hierarchy: A signed venue agreement, equipment rental agreement, production agreement, proposal, statement of work, invoice, checkout disclosure, waiver, insurance requirement, release, or written change order may contain additional or more specific terms. Transaction-specific signed terms control that transaction to the extent they conflict with a general website policy, except where applicable law requires otherwise.
